Privacy Notice
1. Who we are
Atherwood.org is a private, non-commercial website for residents of the 64 Eichler homes of the Atherwood tract in Redwood City, California. It is operated by a resident of the neighborhood ("we," "us," or "our"), not by a company or a homeowners association. This Privacy Notice describes the information the residents' pages of the site (the "Site") collect, how it is used, and the choices you have. Questions may be sent to hello@atherwood.org.
2. Information we collect
Information you provide:
- your email address, which is how you sign in;
- your first and last name and your home address, chosen from the list of 64;
- whether you own or rent, which is used to review your registration and is never shown in the directory;
- your confirmation that you are 18 or older, that you live at the address, and that you accept the Terms of Use and this notice, with the date and the version you accepted;
- if you choose to give them: a phone number and whether text messages are welcome, your occupation or skills, and a photograph of yourself;
- if your household chooses to give them: the year you moved in, your children's birth years, your pets, and your interests.
Information collected automatically:
- your internet (IP) address, browser type, the pages you request, and the date and time of each request, recorded in the hosting provider's logs;
- a one-way scrambled form of your IP address, kept with your registration to limit guessing of home codes;
- cookies needed to keep you signed in;
- if analytics tools are in use, information about how the Site is used, such as pages viewed and general device information.
Records we keep about your account:
- when you registered and when you were approved;
- when a listing or a display choice was changed, and which item, but not what the item said.
We do not collect passwords, government identification numbers, payment information, health information, or full dates of birth.
3. How we use information
We use this information to operate the directory, to verify that registrants live in the neighborhood and to review registrations, to send sign-in codes and notices about your registration, to protect the Site against misuse, to understand how the Site is used and improve it, and to comply with the law.
4. Who can see your information
Other approved residents see only what you choose to show. Until you turn on "List me," you do not appear in the directory. Once you are listed, your name and address are shown, and each further item has its own display setting, which is off until you turn it on. Any approved adult registered at your home may change the details your household shares.
The Site's operator, and anyone the operator authorizes to review registrations, can see everything you submit.
5. How we share information
We do not sell personal information, and we do not share it for advertising. We share it only as follows:
- with service providers that process it on our behalf, including Amazon Web Services, which hosts the Site and delivers its email from data centers in the United States, and the tools and people that help us maintain the Site;
- with providers of analytics tools, if we use them, limited to usage information;
- when required by law or by valid legal process.
6. Cookies and analytics
The Site uses the cookies needed to keep you signed in. We may also use analytics tools, which may set their own cookies or use similar technologies, to understand how the Site is used and to improve it. We do not use advertising cookies, and we do not permit tracking for advertising.
7. Email
We send a sign-in code each time you sign in and a notice when your registration is approved or declined. Both come from hello@atherwood.org. We do not send marketing email.
8. Children
The Site is for adults and is not directed to children. We do not knowingly collect information from anyone under 18. A parent may provide the birth years of the children in the household. Names and full dates of birth are not collected. Children appear in the directory only as ages, and only if the household chooses to show them.
9. How long we keep information
- A registration that is started and not completed: seven days.
- A registration that is declined: 90 days, so that a repeat attempt can be recognized.
- A pending registration that you withdraw: deleted at once.
- Hosting logs of requests: 90 days. The Site's own logs hold account identifiers only, never a name, an email address, or a phone number.
- Email sent to hello@atherwood.org: 30 days on the Site. The copy forwarded to the operator's mailbox is kept there.
- Everything else: until you change it, close your account, or ask us to remove it.
10. Your choices, and closing your account
You may correct your information and change what is shown at any time on "My listing." You may ask us to remove any information about you; we will do so promptly, normally the same day, and no reason is required.
You may close your account from "My listing" or by writing to hello@atherwood.org. Your account, your listing, and your registration are then deleted, together with your household's details if you were the last adult registered at your home. One entry remains in the record of changes, stating that an account was deleted on that date at its holder's request. It contains no name and no email address. Backup copies are deleted within 35 days.
11. Security
Information is encrypted in transit and where it is stored. Sign-in is by emailed code, so the Site holds no password of yours. Access to personal information is limited, and each reading of the records that hold it is logged. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
12. What other residents can do
A resident who can see an item, including a photograph, can copy it. The Terms of Use prohibit passing the directory to anyone outside the 64 homes, and the Site offers no download or export, but we cannot prevent a resident from writing something down.
13. If information is exposed
If personal information is exposed, we will promptly notify the people affected and tell them what was exposed.
14. The WhatsApp group
The residents' WhatsApp group is operated by WhatsApp under its own terms and privacy policy. The Site only holds the link. Joining the group shows your phone number to its members.
15. Changes to this notice
We may update this notice. When we do, the Site will show you the new version the next time you sign in and ask you to accept it.
